Communication is at the heart of writing

It’s not easy blowing your own trumpet is it? I find it hard! I mean, that’s kind of ironic since my job is to blow other people’s: you’d think it would be easy for me. But alas. I write blog pieces that contain ideas and strategy and tips for small businesses, to help them. Rarely do I say we got a client published in the Guardian the other day. Or we liaised with the front page of MSN Lifestyle to get our clients’ amazing work noticed.

But we do it. Silently, whilst also thinking of valuable blog posts to give hints and tips to other small businesses in the area. For example, through our monthly package with The Cornish Seaweed Company, we’ve seen them feature everywhere from BBC’s Saturday Kitchen to The Guardian Sustainable Business section. Chocolarder have been in the Spring edition of Home and Garden, as well as Delicious having profiled recently, and many other exciting things happening.

As a business, content is not good enough.

Seems an outlandish statement for a freelancer in Cornwall and Devon, right? I mean a good half of my week is dedicated to writing content for companies. But what I mean is that being content with erm content isn’t good enough. It needs to be exciting, engaging and shareable in order for it to provide a high ROI.

Every single expenditure you make on behalf of your business needs to be quantified; hence some companies are hesitant to outlay money for content marketing, PR and communications.

Yet, this element is essential to getting your message heard. You need to have faith that you’re choosing a content writer who prioritises ROI. Much of my week is dedicated to helping promote other businesses, via social media channels and article creation, and by weaving a network of contacts to hold clients together and increase outreach.

Setting business resoultions

So, I implemented a much needed hiatus from updating over the Christmas period. Catching up on real life and hanging out with friends and family can be an all too distant memory for many other small business managers like me!

I’m not a massive fan of resolutions, since so many people set wishy-washy goals without achievable steps. Myself included. This year, to save me from tears, I’m focusing on goals that are attainable.

Seasonal dust beginning to settle, we welcome what I believe in the rest of the country to be a wintery cold new year. Down here in Cornwall it’s still been a respectable 8° at its lowest, most of the time. Apart from the 2 days of ground frost, which excited me so much I actually got my camera out to photograph its glittering beauty.

Last year, I focused on one resolution: to write more. Crikey! I don’t think I could have expected this to be fulfilled with quite the ferocity it was. Some weeks producing over 10,000 words of content for just one client, and adding to that heaps of calls, emails and meetings. Still, I achieved it, due to its simplicity.

So what resolutions can small business owners make, and stick to in 2015?

Outsource

Whether it’s accounting, content creation or social media; weed out the aspects of progression that are time consuming and outsource them to an expert. Generally, this means they will spend a focused amount of time, which is likely to be much less than you, on achieving goals within that area. Outsourcing is the first step towards progressing because you’re focusing your own time elsewhere.

 

Having recently acquired several new clients, I am excited to see that more and more small companies are understanding the value of outsourcing a multi-skilled writer. Building case studies, content and even branding and marketing strategies for different companies allows my clients to do what they do best, and gives me the same opportunity.

Remember to schedule relax time

So, OK right now after having had some time off, you can see how vital that time is. Productivity, motivation and enthusiasm are all restored with lashings of resilience if you allow yourself to enjoy some time off. It’s simple, and yet so many of us are forgetting to do it. Hopefully the inevitable rest many of us have managed to glean over the festive period reminds us of the importance of this!

I know: it’s easy for me to say. Indubitably, large companies have all got this underway now. Producing excellent content is a strategic endeavour, which brings with it a range of benefits, ultimately resulting in the same thing: more sales.

Boosting organic SEO, developing trust relationships and demonstrating your authority within your field; content creation is a game changer for anyone whose business has an online element. Which should be almost everyone in 2015!

Whether you have a budget for advertising or prefer to carry out an email marketing campaign, make a commitment to a consistent promotion, so people know you’re still there: offering them a solution to their problems.

Through regular interaction on social media, we have seen The Cornish Seaweed Company’s exposure raised significantly through appearing twice on Saturday Kitchen. This has not happened overnight but rather through regular promotion and contact with a relevant audience. It’s a similar story with Chocolarder who sold out of all stock this Christmas due to massive press exposure from our campaigns.

However you choose to do it: from flyer drops to social media or through press release and blogging, decide on a strategy and implement it. Sales for one of my clients have increased by more than 5 times.

Essentially breaking your goals down into bite size chunks and working through them empowers you to feel like you have achieved something.

A storyteller’s tale of a year in business

Buena’ dia’, whistled the man through his gapped teeth and ratty moustache. The plastic bottle of aguardiente ensconced in his dirty jacket hung as a Christmas decoration from his bailer twine. He took advantage of the first available space to nestle his head into the bristly seat cover. I studied his face. A face you could climb up; its crags and boulders mimicking the Andes; rising in the surrounding pueblos. His left eye was a pastiche of the lake at Cotopaxi – minus the perpetual rainbow thrown into the sky. Outside the rain tapping on the leaves applauded in the last month of the year. Its gentle beat was the quietest sound as November departed. The road from Quito to the jungle is long and winding.

 

Deciding to spend my holiday this year working on cacao farms in Ecuador; the days involved trekking through muddy paths, wielding a machete and learning permaculture; evenings marvelling at the combined sounds of a bassy frog, honking goose and cascade of cicadas. The rhythm of a rainforest rave like nothing I’d ever slept through before, it became a prize, a comfort at the end of a long day.

Waking up to the sounds of a rainforest couldn’t feel much further from the skreigh of gulls ripping bins apart on my backstreet doorstep in Falmouth. Further again from the swollen black sky of Tokyo where I was living a few Decembers ago. Having chosen hummingbirds to decorate my website and associated social media pages, it seemed serendipitous that the end of my first full year as a fledgling business I should be surrounded by them; their call part of the soundtrack to my day.

Having started 2014 reproached by my failure to teach full time, I ended it by returning to several things I love: Ecuador, volunteering and (yes) chocolate. Not entirely unrelated to the work I’ve been doing with Cornwall’s only bean to bar chocolate producer, Also I am looking for social responsibility projects to support as part of my long term vision for the business.

What I expected to learn and what I eventually have; like the best laid plans of mice, men, hummingbirds and writers – well, went astray. But it did provide me the space to take a look at the future of Palaver Maven and what I want to happen next. From the fantastic work with  sustainable seaweed harvesters The Cornish Seaweed Company and their propulsion into mainstream media, to the attention The Chocolarder has received from luxury magazines and food blogs; it’s been an amazing year. My small business has made connections to big press on behalf of small businesses, and

I’ve been blown away by meeting each and every person who has dropped their job in order to live the dream.

Recently having started writing adventure stories for Sharing Socks, I feel happy to combine my love for adventure with social projects; particularly those surrounding education and equality. As 2015 beckons, presenting with it the option for expansion, I’m excited to be offering the opportunity to help young people in Cornwall find an in-road to media careers.

OK, I am lucky enough to live on the most southerly and most diverse peninsula in England. The incredible landscape of Cornwall is woven through my prose, and in addition to its inky threads tangling into branding; it provides quirky, memorable copy from the many creative types spanning Land’s end to Launceston and Boscastle to Barripper. Indubitably, the place I call home is one of the most beautiful I’ve been to in the world.  And I’ve been to a few places. In fact, I’m in one now. Surrounded by gently flitting hummingbirds and amazing variations of butterflies, I’m in a cloud forest in Ecuador as I type.

When I first heard the name cloud forest I think I imagined something like you’d find at the top of the faraway tree. In many ways, Mindo is like that. It’s a paradise: toucans, quetzals and the aforementioned hummingbirds call, chirp and play amazing games in flight as dense foggy clouds hug the tops of mountains; lined with banana trees, palms and other exotic flora. The night-time chorus of crickets, cicadas, birds, geese, frogs and untold other wildlife is relaxing, bizarre and comical all rolled into one.

What does all this have to do with business? Well, it has to do with the essential properties of taking a break. I properly started Palaver Maven this year. And, as most entrepreneurs or new business owners will tell you, this meant I worked tirelessly to get it off the ground. I worked every single day. Many days for sixteen hours. Many days these didn’t seem enough. I pissed off my partner replying to work emails on romantic meals, I neglected birthdays, forgot parties and generally dedicated to my work in a commitment I had never given to anything before.

I still do, of course. But the telephone ringing, and emails pinging, and the several different charity projects I had on the go eventually began to consume me. One of the reasons I’d chosen to be self employed was because I’d previously struggled with the pressures of teaching. And it all made me realise I needed to take a step back, be somewhere else and evaluate what’s important.

Time off, even the smallest amount of it, allows you to look at things with fresh eyes, and it’s allowed me to let go of control. I love words: playing around with them, reshaping somebody else’s, and creating my own. I’ve been fully immersed in speaking Spanish since I got here, and it’s made decision making for the new year all the easier. Having a distance from using English: the language I love so dearly, and shape so frequently, has blistered a new approach to it.

Whilst not all small business managers, or copywriters, can fly to Ecuador to work in the rainforest; everyone can take a step back and use the time to evaluate their goals. Everyone can find some inspiration to increase their creative output, and if you can’t: look for it. Have even 20 minutes to entirely step away from work tasks and just let your mind wander elsewhere. Listen to the video above and the gentle sounds of the forest.

Developing character: the multiple personalities of a content writer

This post may debunk the magic. Read on at your discretion…

“you’re looking for the secret. But you won’t find it because of course, you’re not really looking. You don’t really want to work it out. You want to be fooled.”

Excellent branding, as I’ve often said before, starts with excellent planning, and also entering into and maintaining a dialogue with your audience. We’ve always been told, in any industry, that customer service is the most important factor. Which it always will be. Essentially, great customer service is about communication. All good relationships are about communication, and excellent branding is making a commitment to a long relationship.

What it also involves is an element of magic. And what I mean by that is not some terrifying display á la The Great Danton or Houdini. It’s the element of magic that Michael Caine, aka Cutter, in the film The Prestige refers to when he says “you’re looking for the secret. But you won’t find it because of course, you’re not really looking. You don’t really want to work it out. You want to be fooled.” And creating amazing stories across all brand communication channels is much the same kind of magic.

People must realise there is a lot more to a brand than the lovely pictures that get shown on social media and the crafted stories spun to engage and inspire readers. Behind every business is accounts and finances; admin; bills; payroll; training; outsourcing; and whole host of less-than-exciting menial tasks that a small business simply cannot function without. And yet, what they buy into are the snippets of stories, the development of character: the suspension of disbelief.

Storytelling in branding is like magic

Coming up with a strong and believable branding story requires creativity and strategy and excellent storytelling. It also requires the attributes of a professional writer. You need to sound like the protagonist. Your brand is leading the story, by becoming an authority voice. Kathi Kruse wrote an excellent post about the techniques used within a good content strategy, and essentially boiled hem down to the literacy points I would have taught my kids when I was teaching: show don’t tell, build drama, write about the stuff you like. All of this is advice that excellent writers such as Marquez, Atwood and Murukami would give.

It’s no surprise that with this level of detail, professionalism, strategy and time, many people choose to employ a professional writer to create tone of voice.

Part of my job as a content writer and branding consultant is to help craft these stories for my clients.  And to do this well, first I need to spend some time with them, really getting to know their character, the character of their brand and start to shape a direction for the story of this character to go in. The peaks and troughs. Ups and downs. How would they react to current affairs?

In any one week, I might be an American business man imparting his marketing secrets; a food expert reviewing restaurants and products, a young fashionista describing the newest makeup on the market; or a yoga expert evaluating the effectiveness of different anyasas. I imagine long running soap stars must have the same problem!

At times, I  have focused so sharply on this array of characters that I almost feel I have multiple personalities. I write only for brands I care about, and so immersing myself in their worlds is no hardship. But once a project is complete; which can happen for any number of reasons; I find myself missing hanging out with my friends. I imagine long running soap stars must have the same problem!

Just as we do for a good story, a movie or book; we need to suspend disbelief when ‘buying into’ (in the psychological, time investment sense) a brand. And if you can ignite that same sense of curiosity, excitement and empathy, you will build a successful brand and see sales increase.

7 Deadly sins of press release creation

When articulated well and containing useful, relevant information, the humble press release can still achieve excellent results in promoting your event or company news. I’ve been handling press releases for Bristol businesses and many others reaching the length and breadth of the UK and US now. Whilst unable to guarantee publishing, avoiding committing the seven sins of bad PR should put you in good stead for consideration by journalists, bloggers and media types.

#1 Your title is not striking

As the opener, the title is the first thing a journalist will see. If it’s clunky, badly written or too long, it may well be the only thing they’ll see. With this in mind: make it punchy and a good condensed version of the key newsworthy angle of your release. Opting to use puns or wordplay is only really successful if it’s actually funny.

#2 You’ve written it in the first person

Many companies make the mistake of more or less lifting the content of their press release from their ‘About Us’ page. A press release is never written in the first person. It should never say “we’ve achieved” this or “I believe” that. It’s always written as though someone else is presenting your story: hopefully the myriad journalists who see it as newsworthy. Of course, quotes from the CEO or MD are kept in the first person.

#3 You’ve not exploited quotes

Touched upon above, it’s really important to emphasise the importance of quotes. Once you’ve decided on an angle for your story, include quotes from yourself or a company spokesperson. As well as being the only part of a release that is acceptable in the first person, quotes are the only thing journalists can’t change. As such these are an opportunity to really sell your idea, event or news.

#4 Punctuation sucks

Anything from a rogue apostrophe to overuse of CAPS will make the decision to delete you release for good, easy for potential journalists. Editors, reporters and journalists are busy people with tight deadlines to consider. Think of this when creating your press release. It needs to be as ‘ready to use’ as possible to, ultimately, save time. If you’re not sure on the rules of English, ask someone to proof your news who is. Or employ a writer to create your press release for you.

#5 Where’s that?

No stone should be left unturned when it comes to exactly who your company are and where to find them. As a subheading, include a summary before your first paragraph including who and where you are and the angle. Part of my service includes undertaking this research for clients, but many journalists won’t be this patient and if you don’t include all information, they may well reject your press release.

#6 It reads too much like an advert

This is a tricky balance to create. Essentially, you do want the release to act as a form of free advertising for your company. However, you can’t make it too promotional. Foremost, a press release should be a presentation of facts, so keep it factual and use objective copy as opposed to using too much hyperbole or making unrealistic claims about your company.

#7 Irrelevant content

Again, a really common mistake companies make when creating their press releases for submission is forgetting to find a newsworthy angle. Although you may wish to promote a 30% sale, which is great news to existing customers, how is it relevant to the readership of your target press? You need to relate the benefits to the journalist’s readers in order to maximise their chances of publishing. Read news in that sector and relate your release to an angle.

These are just some examples of mistakes I have seen when companies send me their ‘sketched out’ press releases. Of course, if you’re sending it to a professional writer to create, then an outline of what the news is and who you want to attract with it should be satisfactory. Why your small business needs a writer who believes in you

When I say small businesses are bankrupting me, I know it comes across as a negative. The majority of my clients are small, independent businesses and they’re who I love working with. And they’re certainly not bankrupting me because they drive a hard bargain or aren’t finding me enough work. Things are busy at Palaver Towers and they’ll soon be getting a lot busier. But I’ll tell you about that nearer to the time. (Wouldn’t want to jinx it!)

So no; it’s not a negative.

What I mean is that you guys (SMEs) are so good at what you do that you make me spend loads of my hard earned cash on your products and services.

How does that happen?

Particularly when you send me briefs which make me research around your business; what you do day to day. And what you do, the products you make: I already love them. I’ll only work with clients whose work I believe in. This is because I know it makes my writing better. So you’re bankrupting me because once I’ve given your words a spin through the storymaker (my own head); ultimately we’ve created something beautiful together and the power of it makes me convert. So I often end up buying your product or investing in your service.

How do people hear about it?

I’m a social media addict, so I spend much of my time craving clever creations people are offering on twitter or padding through pictures on pinterest. Sometimes for work and sometimes for play. Essentially, these tools help you to get your carefully crafted stories out there.  I can guarantee that if your products are written up with enough finesse and your About Us uses storytelling, many other people landing on your site will feel just like me and be motivated to get a slice of that!

Press Release photos: the great debate

Often when writing your own press release, you’ll seek advice and follow guidance you find online, which can produce great results. I mean, that’s one of the great things about the internet, isn’t it?! However, conventions are different across the globe and in the UK press journalists will not wish to open emails with attachments, since a) it’s more time consuming and b) they can contain viruses.

So begins the great debate about images in your press release.

Indubitably, you should always include an image with text. It helps to break text up; shows your brand identity; is usually more eye catching than simply words on a page; and is often the very first point of contact between you and your prospects.

So what are the rules for including images and how do you go about getting this right?

Plain and simple

Despite creating a beautiful press release with your logo at the top and all of the stylistic conventions recommended for writing a good press release, the actual email you send to your press list should be simple. This means it should contain no html, no embedded images and no attachments. It will look plain, but it will also bypass any filters those clever editors, journalists and bloggers have put on to minimise the risk of spam.

So how can you get your images to journalists?

#1 set up a dropbox for press images

Dropbox provides a free and easy place to store the relevant images to accompany your press release. Highlight the link to this at the beginning or within the actual pitch of the email, to ensure your readers know they are easily accessible.

#2 include a pictures section of your website

Creating a section of your website that contains a selection of relevant images means that any interested parties can simply access (and preferably download) images to accompany any text they may decide to run on you. Keeping things nice and easy will increase your chances of being published, so include a high resolution image in an easy access format, such as JPG.

#3 have a supply of pictures ready to send to journalists

The truth is that if the story itself is newsworthy enough and the article well written, the journalists for the most specific publications will write to ask you for pictures. Be sure to have them stored neatly, named aptly and in JPG format and this way they’ll be ready to go. It’s also important to respond as quickly as possible. Many journalists work to tight deadlines and really appreciate swift responses.

#4 Submit your story to a PR site or blog

If there is an online version of your news story available, journalists may collect the images from this site if they wish. This makes the process easier, whilst also contributing to your site’s SEO. My Cision news page means your images can be accessed immediately and downloaded.

Confessions of an accidental business woman #1

I say accidental because I naively envisaged sitting behind my computer all day typing creative articles and being paid for it.  For a time this was an accurate depiction of life as an original creative copywriter. But to sustain it, I have had to learn about databases, marketing, PR, SEO, web design and many other cogs in the smooth(ening) running of my pepperetically* (well oiled would be a lie) oiled machine. This was not always the plan. And I say businesswoman, which still makes me laugh, as it does with so many of my clients from SMBs and sole trading ventures. I’m still little me sitting in my office tapping away at the keyboard and trying to juggle all sorts of additional tasks.

I’ve decided to launch Confessions of an accidental businesswoman as an aside to the regular blog, which will feature once a week and tell readers about my mistakes in business, so you can avoid making them yourself!

My Confession

I confess that when I first started I didn’t really know who my target audience were. I didn’t have my invented character sitting beside me to ‘chat through things’ and the posts were clunkier with no real direction. Being a professional writer is one thing and being a businesswoman is another.

Avoid doing the same thing

Having a strategy in place will ensure you avoid making the same mistake. Get to know who your target audience are and build content tailored to them. My top tip for a solution to this problem is outlined below. I make mistakes, so you don’t have to.

The Solution: Invent a character

No, not as in who you should be. You should be you. I’m not a fan of impossible statistics but you should 110% be you, as this is who your prospects and customers want to buy from. But you should invent a character who is your consumer. They need to fit the demographic and be a friend; a confidant and a sounding board.  Imagine that everything you write is essentially having a conversation with that person. This achieves two things: you build a relationship with the character in quite the same way as you would with a ‘real’ person. You show your thoughts and feelings and speak in a language that is easy to understand. Symbiotically, whilst you are revealing your true self to them, they will believe in you; which is more likely to convert them into a customer.

Why Google’s algorithm change means you should use small PR companies

Those with their fingers on the algorithmic pulse ought to have been aware of Google’s latest changes in the form of Panda 4.0. But what will it mean for your business?

Google is renowned for being a smart company. As it strives to provide rich content for searchers, changes have happened to the way in which ranking works yet again. Focused on a developing the most efficient form of search, Google has and will continue to make changes to where results are placed within its ranks. Designed to weed out sites with flimsy keyword loaded drivel in the content pages, as writer I wholeheartedly endorse these changes because they mean more sites will be providing quality content.

In terms of blog posts and regular articles, ensure that your content is being updated regularly and with real information. It’s pleasing to see that many SMBs and SMEs are following this trend; providing solutions to industry specific questions and building relationships with clients.

An article I read yesterday forecasts a bleak future for large PR wires who prefer the tactic of spamming writers with many press releases, bursting with flimsy links but no real content. The great thing about using a small company to write your press release is knowing that it has been created by someone who cares about their company, so won’t rush the release just to make up numbers.
